What is collected
| What | Why | Where it comes from |
|---|---|---|
| Email address | Signing in, and the small number of messages described below | You, at sign-up |
| Name, date of birth, service history, dependants | Filling in the VA forms the app drafts | You, in onboarding and your profile |
| Conditions, treatment events, evidence notes | Building your claim workspace | You |
| Uploaded documents | Your records, kept in one place | You |
| Buddy statement contacts: name, relationship, email | Sending the invitation you asked us to send | You |
| Access and activity records | Proving who read or changed what, including any staff access you approve | Generated by the app |
There is no advertising, no analytics product, no tracking pixel and no third-party script on the pages where your claim lives. The app does not sell data and has nothing to sell it to.
Who can see it
- You. Every record is scoped to your account and checked on every request.
- Staff, only with your explicit approval. A support request must name a reason, an exact scope and a time limit. It shows nothing until you approve it on your account page, it expires on its own, and you can revoke it instantly. The only thing staff can ever change is your nexus letters, and only when you approve a request for that. Staff cannot mark a letter as reviewed for you. Every approved read and every change is recorded.
- The person you invite for a buddy statement — and only your first name and the one sentence you typed for them. Not your conditions, documents, surname or anything else.
- Our hosting provider, which runs the servers and database. See Security.
Email we send you
Transactional messages only: an export is ready or failed, a support request needs your decision, support access was approved or ended, a deletion was accepted or finished. There is no marketing list, so there is no unsubscribe link — these are notices about your own account.
They deliberately carry as little as possible. A message says what happened and links to a page you have to sign in to; the detail lives there, not in your inbox. The one exception is the buddy invitation, which goes to someone else and carries only your first name and your topic sentence.
Artificial intelligence
Some features use AI to help draft and analyze your claim. Here is what happens when you use them:
- The drafting and analysis features send the relevant text to an AI service. That text is limited to condition names, your notes, any decision letter text you supplied, and the text read from records you add to your Document Vault when the app looks for dated events in them. Your files themselves are never uploaded to the AI service. Text is extracted in your browser, including from scans, which are read on your own device, and only that text leaves your device.
- Events found in your records are saved as unverified suggestions. Each suggestion is checked against the exact page it was quoted from before it is stored, and nothing joins your Chronology until you accept it.
- Before a prompt leaves the app, it replaces recognized multi-part name variants from your profile with placeholders. It also removes names in recognizable standalone identity fields, labeled VA file numbers, and labeled Social Security numbers found in the text. The app fills your name into generated paperwork locally after the AI service replies.
- We do not ask for your Social Security number or VA file number. Printed forms and letters leave a space for you to write them in by hand.
- Your uploaded files are not sent wholesale. Only the text needed for the operation you asked for goes.
- Every attempt, success and failure is recorded against your account, with the purpose, so the history is auditable.
This is targeted removal, not a guarantee that prompts are anonymous. Profile matching covers common multi-part name-order and middle-initial variants; single-word profiles and other unrecognized forms may remain. Standalone identity fields are recognized only when they are clearly labeled and confined to one line. The app cannot recognize every name, alias, address, contact detail, or other identifying fact in free-form narrative, including details that do not match your profile. Review the text you submit and do not include identifying details you do not want sent to the AI provider.
How long things are kept
- Your workspace: until you delete it or close your account.
- Exports: built on request and available for 24 hours, then purged.
- Email delivery records: removed shortly after a message has been delivered or has failed.
- Access and activity records: retained deliberately, because deleting the record of who looked at your data would defeat its purpose.
Getting your data, and getting rid of it
From Account & Data:
- Export. Everything the app holds, with your original files, byte-for-byte as you uploaded them.
- Delete. Your account freezes immediately, exports in progress are cancelled, and the deletion then runs in the background. It cannot be undone and there is no restore. Export anything you want to keep first.
Some records are outside the app's reach and are not removed by deletion. These include records held by our hosting, payment and AI service providers under their own retention policies, and limited account and activity records kept for security and accountability. Those retained records hold no claim, medical or document content. The deletion screen in your account explains what applies before you confirm.
